One slow week in attendance can ripple through revenue, member retention, and growth. Studio leaders can’t afford to wait until month-end reports to react. That’s difficult to do when back office demands sap precious time from member-facing activities. Insights 2.0 gives operators that time back. 

From Spreadsheets to Snapshots

The company has created a quick reference dashboard that sits on top of the robust data inherent in its offering to track the six metrics their customers say they refer to most. The result is a streamlined way to surface the most critical information business owners and operators need to take the temperature of their gyms and studios. Having access to this information fast and often means clients can pivot operations before small challenges become big problems. 

“We recognized that our clients were spending a lot of time in the very data-heavy reporting we provide. They were spending a lot of time downloading reports and tracking spreadsheets,” said Kendall, who spent months speaking to current clients on their needs and pain points. “Since the same kind of KPIs kept coming up time and time again, we’ve put those key KPIs front and center for business owners”

The result is a clear line of sight into what’s working and what’s not. From there, users can drill down into the details to learn more about what’s going on.

The Six Metrics That Move Your Business: 

total sales—total revenue across all categories showing overall studio health

active memberships—paying members illustrating recurring revenue and retention

intro offers sold—indicates new client growth or top-of-funnel health

attendance—who’s showing up across all classes and packages for a read on engagement

first visits—new members reflecting marketing effectiveness

class utilization—filled class capacity or the efficiency of each studio space

Taken together, these metrics are a powerful diagnostic tool.

Already the feedback on the new dashboard reflects the critical nature of this specific data. 

And it’s not just about speed. Insights 2.0 also provides a big-picture perspective on what’s happening on any given day—or across specified timeframes and locations.

By bringing disparate information together, the dashboard tells a story in a way that individual data points cannot. While this same information was always available for Xplor Marina Tek clients, it was up to them to excavate it and connect the dots. In short, it was a lot of work.

Relieving that burden of digging for clues across spreadsheets has already won praise from the clients who scored early access to the dashboard. “By showing summaries first, it gives the user an idea of where they need to be looking into things and then they can drill down for detail,” Kendall said. “One operator said to me that they were saving up to an hour a day of not having to just think of where they need to look for the information they need.”

And because it’s less cumbersome, Insights 2.0 makes it possible to track these key metrics more often. Before the dashboard, owners and operators would typically only pull this data weekly, on average. But seven days is a long time when things are in flux. The result was businesses that were consistently a step behind. 

For instance, for those only pulling membership reports weekly, they could miss the opportunity to identify at-risk members before they expired. So rather encouraging them back into active status, those operators were now in the unenviable position of attempting to win back the business. On the other hand, readily available real-time results translate into real time actions. “In that case, they can get ahead of any problem and reach out and nurture those members. That’s where they’ll get ahead of the game,” Kendall said. 

The same is true when analyzing introductory offers. The sooner a manager notes a shift in conversion rates or types, the faster they can adjust offers and messaging. Being able to track members throughout their lifecycles adds another valuable dimension to the reporting. The intro offers sold metric links to a dedicated report that not only shows which intro offers sold, but also which memberships are converting best. “Very quickly an operator can look back at a list of intro offers and work out which ones are performing well and which memberships people went on to,” Kendall said. “That helps them strategize which memberships staff members should focus on selling.”

It’s just one way that Insights 2.0 enables studios to constantly gauge resource allocation, efficiency, interest and engagement. With these insights, owners and operators are empowered to stay ahead of the changing fitness market. And the ease of the solution means more team members can access the information.
